POSITION SUMMARY

Pay Range: $26.21- $36.94

 

The GME Program Coordinator administers, coordinates and integrates a GME educational program for all residents in a specific training program.  Assists with and may assume a lead role in various projects. Contributes to a positive work environment that promotes HMC values.

 

Job Duties & Responsibilities

 

Residency Program Coordination. Representative duties and responsibilities include, but are not limited to:

  • Manages the full cycle of resident and ACGME fellow recruitment, including advertising, application management (ERAS, NRMP, Thalamus), interview scheduling, and coordinating selection committee meetings. This involves analyzing data for recruitment reports.
  • Assists with a comprehensive orientation program for all incoming residents and medical students, ensuring they receive necessary materials and are educated on program and accreditation requirements.
  • Oversees resident and faculty evaluation processes, including coordinating electronic evaluations, tracking resident performance metrics (patient visits, procedures, scholarly activity in Medhub the resident management system), and preparing annual program reviews in compliance with ACGME standards. This includes administering and proctoring required examinations, maintaining test security, and tracking duty hours.
  • Creates and manages complex resident and intern rotation schedules, working with Assistant Residency Directors to finalize and distribute schedules, resolve discrepancies, and ensure compliance with duty hour regulations.
  • Coordinates didactic schedules, workshops, and retreats, and assists with planning annual graduation ceremonies and teaching awards.
  • Utilizes Medhub and other reporting tools to effectively manage residents and ensure compliance with ACGME regulations.

Administrative and Operational Support. Representative duties and responsibilities include, but are not limited to:

  • Provides administrative support to Education Faculty, including calendar management, correspondence, report preparation, meeting coordination (agendas, minutes), and managing phone calls.
  • Assists with medical student coordination and badging.
  • Supports Continuing Medical Education (CME) tasks, such as yearly planning (topics, speakers) and weekly coordination of Grand Rounds sessions, including recording and managing CME inquiries (*TY PC specific).
  • Handles various administrative tasks as assigned by the GME Program Manager

Performs other related duties and special projects, as assigned.

JOB SPECIFICATIONS

Education & Experience

 

REQUIRED: 

  • Bachelor’s degree and two (2) years of general office or administrative experience; OR an equivalent combination of training and experience.

PREFERRED: 

  • Graduate medical education experience program experience including work with MedHub strongly preferred.
  • Previous program coordination experience strongly preferred.

Required Knowledge, Skills, and Abilities

Knowledge of:

  • ACGME (Accreditation Council for Graduate Medical Education) requirements.
  • Structure and hierarchy of graduate medical education within Hillsboro Medical Center, including the roles of the Designated Institutional Official (DIO), Program Director, faculty, and residents/fellows.
  • Electronic Residency Application Service (ERAS) and the National Resident Matching Program (NRMP) processes, timelines, and regulations.

Skill in:

  • Written and verbal communications with the ability to convey complex ideas clearly and understand others’ perspectives.
  • Advanced computer proficiency, including all Microsoft Office suite applications including Word, Excel and PowerPoint.
  • Project management and the ability to lead or significantly contribute to projects related to program development, evaluation, and accreditation.

Ability to:

  • Work cooperatively and productively with diverse teams and stakeholders to achieve shared goals.
  • Multi-task, prioritize duties and manage workload effectively under pressure.
