Performs duties related to coordination of benefit plan design changes, annual open enrollment and other benefit eligibility situations such as new hires and life-event changes for employees. Assist employees by responding to benefit questions, investigating and problem solving system issues. Coordinates the selection and implementation of appropriate benefits and vendors. Performs vendor management as needed.
Responsible for management of PlanSource system (online benefit enrollment software) including trouble-shooting data interfaces to/from the system. Also responsible for entering benefits data and creating reports/queries in the AS400 (HRIS/payroll) system. Assists with maintenance of the HR employee intranet website for benefits information. Reconciles and calculates benefit vendor invoices. Audits benefit data in PlanSource and payroll systems to ensure data integrity. Presents benefit information during new hire orientation and to newly benefit-eligible employees as needed. Identifies opportunities for process improvements and collaborates with other HR team members, Payroll staff and IT to implement new processes or procedures. Ensures compliance with insurance provisions of the Affordable Care Act (ACA) including evaluation of eligibility for enrollment, production of required employee tax forms and filing data with federal government. Initiates and coordinates preparation of Form 5500s and non-discrimination testing for Health and Welfare plans. Coordinates drafting of Summary Plan Description updates with vendors.
a) Education: Bachelor’s degree preferred or 3-5 years of benefits administration experience or related field.
b) Certification: Notary certification required, or obtained within 6 months of hire. PHR preferred.
c) Demonstrates excellent organizational skills.
d) Proficient with Microsoft Office including Excel, Outlook and PowerPoint. Advanced Excel skills preferred.
e) Problem solves without direct supervision.
f) Demonstrates data entry skills.
g) Demonstrates excellent customer service.
h) Demonstrates ability to effectively manage multiple priorities and deadlines under pressure with many interruptions.
